Personal Assistant to CEO

We are looking for a proactive Personal Assistant to ensure the CEO’s time, priorities, and focus are managed efficiently to support the company’s strategic goals. The ideal candidate will handle day-to-day tasks, manage schedules, coordinate communication, and ensure efficient workflow.
This role requires someone with excellent communication skills, highly organized, adaptable, and comfortable working in a lively open-office culture.
A good candidate will look to do the following:
• Manage and maintain the CEO’s calendar, including scheduling appointments, internal/external meetings, and conference calls, ensuring it is followed and respected;
• Ensure the CEO is fully prepared for meetings by gathering agendas, key documents, and background information on prospects;
• Coordinate business travel arrangements, itineraries, and logistics for the CEO and, when needed, the team;
• Handle incoming requests, calls, and meeting inquiries related to the CEO, ensuring timely responses and prioritization;
• Manage PR-related requests, including CEO bios, photos, event participation, and speaking engagements;
• Prepare and update monthly presentations and reports for the CEO;
• Liaise with the management team to collect and update KPIs sheets;
• Organize internal team events and activities and coordinate with external vendors when needed;
Required Skills and Qualifications:
• 1-2 years of experience as an executive assistant, or similar role;
• Excellent time management, project management, and upward reporting skills;
• Strong communication skills, with the ability to handle sensitive information with discretion;
• Comfortable with Google Workspace (or Office 365), and project management tools;
• Fluent in English;
Good to have/be:
• Experience coordinating or supporting senior leadership in a startup or SME;
• Event planning or team engagement experience (internal gatherings, workshops, off-sites);
• Familiarity with Notion (project management tool).
